June 12, 2017 Board Meeting Minutes

Treasurer, Bob Crowley called the meeting to order at 4:35 p.m.

Present were: Secretary, Debbie McAllen; Treasurer, Robert Crowley; Director at Large, Dave Wright and Welcoming Chairman Judy Lubeck.

Residents: Jan Thune

Minutes: The Board Minutes of May 8, 2017 was accepted as written.

Dave Wright motioned to accept the minutes as written. Bob Crowley seconded the motion. The Board approved the Secretary’s Minutes.

Treasurer’s Report: Treasurer, Robert Crowley reported five residents haven’t paid anything towards their membership dues. He sent out a blanket statement to those still owed the $275.00. Looking over the finances, we are leaning towards doing Phase I and II road repair in 2018. He presented the Treasurer’s Report (see attached).

Debbie McAllen motioned to accept the Treasurer’s report as presented and Dave Wright seconded the motion.

The Board approved the Treasurer’s Report.

Committee Reports:

• Design Control: Design Control Chair, William Webber was not present so no report was given.

• Gates: Gates Chair, Dave Wright reported the exit gate by Anthem has been acting erratically opening and closing by itself. Had Apex out and more than likely it’s the electric eye. The new directory boxes should be installed in a few months. It’s been hard to schedule the installation and software people together plus himself. The cost will be around $4000.00. Resident Jan Thune asked if the Board went out to bid this project and it was stated “No. If we were to make any changes with another supplier, we would have go get all new remotes, have new software, and it economically would cost more. There is only one other company in Las Cruces who installs this equipment and that other company was under contract with us in the past and was fired due to lack of showing up and workmanship. Currently we have Apex under contract, they come and maintain the gate monthly, and are satisfies with their work”.

• Landscaping: Landscaping Chair, Carrie Gaddy was not present so no report was given.

• Drainage and Roads: Robert Crowley stated it hasn’t rained so no issues to report. Some residents have fixed their erosion problems to help the drainage stay off the streets.

New Business:

PHPOA Update: Judy Lubeck reported the new directories should be out in a couple of weeks. Please check out the merchant program in the directories because they have added a few new things. PHPOA is going to do a membership push to get more people in offering half price dues. Currently they are at 300 people. Landscaping, the Dona Ana security fence has started, it has been cleared and graded, lava rock will be taken out this week, planting around the fence will take place Wednesday, Thursday and Friday. The corner across the security fence will be started after the completion of the security fencing providing there are sufficient funds. Apparently they are needing $5000 more to complete Phase I. Discussion occurred regarding rocking versus planting and apparently they consulted with the architect, county engineers and planting specialists and it was decided to use the planning guide as presented. Approximately 40 homes along Via Norte will be effected on the east side easement due to water pipes being installed. The water tanks were suppose to be filled this past week. #17 and #16 were both active but #16 was down for about a week which left us using #17 only. Liz Hamm from Picacho Living Magazine was present at the last PHPOA meeting. She mentioned that any of Coronado Ridge residents can call her and she will send you a form asking you why you like living in Coronado Ridge, your favorite hobbies, the pets you have, etc. and print it in the Picacho Living Magazine so that people get to know the people living in Picacho Hills.

Reminder: Please call and get a gate code if you plan on having a housekeeping service, construction work, or landscaping people, etc. instead of giving them your personal code. This way if you later decide to no longer use these services we can delete their code from the directory.

The next meeting of the Board will be held on Monday, July 17, 2017 at 4:30 p.m. at 1236 Regency Court. All are welcome; however, always check with the Secretary to make sure the meeting date has not been changed due to schedule conflicts.

Dave Wright motioned the meeting to adjourn, seconded by Robert Crowley. Meeting was adjourned at 5:16 p.m.
